People sitting on chair-employees attending a meeting - delegation of leadership

Photo by Redd F on Unsplash

At the beginning of my career, I had a mentor who taught me that there are no secrets to leadership. To reach the top, you need to develop people and make them feel they can accomplish anything if they work together.

If you don’t delegate, you’ll never get anything done. This holds in leadership too.

Delegation is one of the essential skills for a successful leader. It allows you to delegate tasks and responsibilities to others while maintaining control and accountability. Delegation is not only important in business but also essential in the home and the classroom.

If you want to improve your leadership skills, you must focus on delegating the right things to the right people and freeing yourself from doing everything.

In this article, I will share why delegation is important to your leadership development.

What is the Definition of Delegation?

Delegation is handing over a task, responsibility, or project to another person or group.

Why is Delegation Important in Leadership?

Delegation allows leaders to focus on critical tasks while delegating the less important ones to others. This will enable leaders to:

  • Meet their goals more quickly
  • Manage multiple projects simultaneously
  • Stay organized
  • Stay on top of their workload

Major Benefits of Delegation

  • Delegation allows leaders to focus on more critical tasks. Leaders who are constantly responsible for everything can become bogged down in the details and lose sight of the bigger picture. By delegating specific tasks to others, leaders can free up their time to think more broadly about their organization and its future.
  • Delegation provides individuals with the opportunity to learn and grow. When leaders delegate responsibilities to their team members, they allow them to take on new challenges and learn from their mistakes. This helps individual team members develop professionally and strengthens the team as a whole.
  • Delegation creates trust between leaders and followers. When leaders delegate responsibilities, they build trust with their team members. This trust allows followers to rely on the leader for guidance and support when necessary, which leads to efficient workflows and better communication within the team.

Why Delegation is Difficult For Some Leaders?

Delegation can be difficult for some leaders. Those good at delegating may struggle when it comes time to take on new tasks or responsibilities themselves. They may feel overwhelmed and unsure how to complete the task.

Delegation is easy in theory but quite hard in practice. It takes time to build up your skills and confidence as a leader, and during that time, people may have other things on their minds than delegating work — often because they are just not ready or able yet.

Thus, it is vital for leaders to periodically take on new challenges to keep their skills sharp and improve their overall leadership abilities. Doing so makes them more likely to delegate tasks effectively and benefit their team members successfully.

The Challenges of Delegation

Delegation can be difficult for any leader, often requiring relinquishing control. However, delegation is an essential part of effective leadership. Here are a few reasons why:

Planning

When it comes to delegation, planning is the key. It would help if you clearly understood what you want to be done and how you want it done to delegate the task effectively.

You must also know your limitations and when to ask for help. If you can take the time to plan things out, delegation becomes a much easier process.

Communication

When delegating a task, good communication with the team is essential. Ensuring everyone understands the task and what is expected of them is crucial.

Communicating clearly can avoid misunderstandings and ensure the task is completed correctly.

Communication also allows team members to provide feedback and ensure the delegation process runs smoothly.

By keeping everyone on the same page, you can minimize any disruption to the workflow and ensure that tasks are completed efficiently.

Accountability

You must hold your team accountable for their results to ensure that your team is effective when working on delegated tasks.

This means establishing clear deadlines and expectations and monitoring their progress.

By keeping your team members accountable, you can be sure that they will stay on track and meet all the goals you set for them.

How Do I Delegate Tasks Properly?

There are three essential steps that you need to take to delegate tasks properly:

Analyze the task to be delegated

The first step in delegation is to analyze the task to be delegated. This includes understanding the specific actions that need to be taken and the timeframe and resources required. It’s also important to consider whether or not the delegatee has the necessary skills and knowledge to delegate the task. If not, you may need to provide some training or guidance.

Once you’ve analyzed the task, creating clear and concise instructions for your delegatee is essential. Be sure to include any specific deadlines or requirements.

Finally, following up with your delegatee after completing the task is essential to ensure everything went according to plan.

Assess the resources that are needed to complete the task

When it comes to delegating tasks, it is essential to assess the resources that are needed to complete the job.

This includes both the necessary time and human resources.

Considering these, you can ensure the task will be completed promptly and efficiently.

Additionally, by delegating specific tasks, you can help to improve productivity within your workplace.

Choose the most appropriate person or group to complete the task

One of the essential skills for anyone in a leadership position is delegating properly. This means choosing the most appropriate person or group to complete the task.

Summary of Key Factors to Keep in Mind When Delegating

  • Ensure you understand the task and what is expected of the person or group completing it.
  • Choose someone with the skills and knowledge necessary to do the job correctly. Assign tasks that are within the person or group’s scope of abilities.
  • Establishing clear expectations for the task at hand. This includes ensuring the employee understands what is expected and has all the information needed to complete the job.
  • Be clear about deadlines and expectations, and provide any necessary support or resources.
  • Follow up on delegated tasks to ensure they have been completed correctly and on time.
  • The delegation of authority is a critical component of any effective organization. When done correctly, subordinates can accomplish the organization’s mission and goals.
  • Monitoring employee performance to ensure that they are meeting expectations. This can be difficult because it requires time and effort for managers.

What Are Some Benefits of Properly Delegating Tasks?

Proper delegation can have several benefits for leaders:

  • It allows leaders to focus on their core tasks and priorities.
  • It will enable leaders to delegate less important tasks, which reduces their workload.
  • It maintains leader accountability and control.
  • It helps leaders stay organized and on top of their work.

Conclusion

Delegation is an essential tool for leaders to use to accomplish their goals. By delegating tasks, leaders can focus on the bigger picture and build a team capable of completing tasks efficiently.

Additionally, delegation can help leaders develop their team members’ skills and abilities, leading to better performance in the future. Leaders who delegate effectively are more likely to be successful than those who do not.
